Terms & Conditions of Booking Last updated: August 2026
These Terms & Conditions apply to bookings made with Event Dancers UK Ltd (“Event Dancers UK”, “we”, “us” or “our”) for dancers, performers, choreography, entertainment and associated services.
By confirming a booking, paying a Booking Fee or instructing Event Dancers UK to proceed, the Client agrees to these Terms together with the individual quotation, booking confirmation or contract.
Where individually agreed written booking terms differ from these general Terms, the individually agreed terms shall take precedence.
1. Booking Confirmation
Bookings are confirmed once Event Dancers UK has provided written confirmation and the required Booking Fee has been received.
Any quotation, availability check or provisional hold should not be regarded as a confirmed booking until confirmation has been issued.
The Client is responsible for checking all booking details, including date, venue, timings, number of performers, performance requirements and agreed services.
2. Booking Fee & Payment
A 20% Booking Fee is required upon confirmation unless otherwise agreed.
The Booking Fee secures the date, performers and resources required for the Engagement and forms part of the total booking value.
The remaining balance must be paid in full no later than the date of the Engagement.
Where requested, cleared payment may be required before performances commence.
Internal purchase orders, supplier onboarding procedures or company payment cycles do not override the agreed payment terms.
3. Client Cancellation
Cancellation must be made in writing.
Once confirmed, performers reserve the date and Event Dancers UK may decline alternative work in order to honour the Engagement.
The following cancellation terms apply:
31 days or more before the Engagement:
No additional cancellation fee beyond the 20% Booking Fee.
Between 30 and 8 days before the Engagement:
50% of the total contracted booking value becomes payable.
7 days or fewer before the Engagement:
100% of the total contracted booking value becomes payable.
Amounts already paid will be credited against the applicable cancellation amount.
These charges reflect the losses and commitments which may reasonably arise from cancellation, including performer loss of earnings, loss of alternative bookings, administration, choreography, preparation, costumes, travel arrangements and other costs associated with reserving the date.
4. Changes to the Booking
Changes to the agreed date, venue, timings, number of performers, performance duration, number of sets or scope of services must be agreed by Event Dancers UK.
Material changes may result in additional charges. Event Dancers UK will always endeavour to demonstrate reasonable flexibility within the nature of live events. However, performers cannot be required to undertake substantially additional hours, sets or duties beyond those contracted without agreement.
5. Performance Times & Delays
The Client must provide sufficient time for performer arrival, preparation, costume changes, warm-up and technical requirements.
Where an event runs late, we will make reasonable efforts to accommodate minor delays.
Significant delays or extensions beyond the contracted hours may incur additional charges and remain subject to performer availability.
If Client or venue delays prevent the contracted performance taking place within the agreed booking period, the contracted fee may remain payable.
6. Performer Substitution
Where a particular performer becomes unavailable because of illness, injury, emergency or circumstances outside our reasonable control, Event Dancers UK may provide a suitable professional replacement.
Where multiple dancers are booked, changes to individual cast members do not constitute cancellation or material alteration of the Engagement provided the contracted number and professional standard of performers are maintained.
7. Costumes
Costumes shown within photographs, videos and promotional material demonstrate the style and quality of our work but do not guarantee that an identical costume will be supplied unless specifically agreed.
Costume selection may vary according to performer sizing, availability, venue requirements, performance style and the individual event brief.
Where a particular costume, colour or design is essential, this must be agreed in writing.
8. Choreography & Bespoke Creative Work
Where bespoke choreography, music editing, rehearsals or creative development are commissioned, additional charges may apply.
Choreography, music edits, staging, costume concepts and other original creative work remain the intellectual property of Event Dancers UK and/or the relevant rights holder unless otherwise agreed.
Such material must not be reproduced, taught, supplied to another entertainment company or commercially exploited without permission.
9. Performance Environment
The Client must provide a safe and suitable environment including, where applicable:
- sufficient and safe performance space;
- appropriate flooring;
- suitable lighting;
- safe access;
- drinking water;
- appropriate heating or ventilation;
- suitable security;
- adequate technical facilities; and
- a clean, secure and private changing area.
Performers should not be expected to change in public spaces, toilets, vehicles or other unsuitable areas.
Where conditions are unsafe, performers may delay, modify or decline the affected element of the performance until the issue is resolved.
10. Outdoor Performances
Outdoor performances remain subject to suitable weather and safe working conditions.
Rain, strong winds, extreme temperatures or other adverse conditions may make certain costumes, props, electrical equipment, dance surfaces or performance activities unsafe.
Performer and public safety will take priority.
11. Specialist Performers
Where Event Dancers UK supplies specialist performers including fire, aerial, stilt, circus or other higher-risk acts, additional safety and venue requirements may apply.
The Client must ensure that these requirements are communicated to the venue and complied with.
The relevant insurance policies and Risk Assessments will be provided to the client/venue.
12. Conduct Towards Performers
Threatening, abusive, discriminatory, intimidating or inappropriate behaviour towards performers will not be tolerated.
Performers may withdraw from any situation where they reasonably consider themselves to be unsafe or subject to harassment or unwanted physical contact.
13. Photography, Filming & Social Media
Reasonable event photography and short-form social media footage is permitted unless otherwise agreed.
Professional filming, advertising, broadcast, commercial campaigns or other commercial use must be disclosed and agreed in advance.
14. Health & Safety
The Client and venue remain responsible for the general safety and suitability of the premises.
Event Dancers UK and its performers will comply with reasonable applicable health and safety requirements.
Any known hazards or restrictions affecting the performance must be disclosed in advance.
15. Force Majeure
Neither party shall be liable for failure or delay caused by circumstances genuinely outside its reasonable control, including severe weather, natural disaster, government restrictions, significant transport disruption, venue closure or comparable events.
Where possible, reasonable alternatives such as postponement, relocation or replacement performers will be explored.
16. Liability
Event Dancers UK will provide its services with reasonable care and skill.
Nothing within these Terms excludes liability which cannot legally be excluded.
For business-to-business bookings, subject to applicable law, our total liability arising from an Engagement shall not exceed the amount paid or payable to Event Dancers UK for that Engagement.
Nothing within these Terms affects a consumer’s statutory rights.
17. Client Information
The Client is responsible for providing accurate information regarding timings, access, parking, venue restrictions, performance space and technical requirements.
Reasonable additional costs arising from materially inaccurate or withheld information may be charged.
18. Complaints
Concerns should wherever possible be raised during the Engagement so that an opportunity is provided to resolve them.
Formal complaints should be submitted in writing as soon as reasonably practicable after the Engagement.
19. Data Protection
Personal information will be processed in accordance with applicable UK data protection legislation and our Privacy Policy and may be shared with performers, venues or suppliers where reasonably necessary to fulfil the Engagement.
20. Governing Law
These Terms are governed by the laws of England and Wales.
For business-to-business bookings, the courts of England and Wales shall have exclusive jurisdiction.
Nothing within this provision removes applicable consumer rights.
